How to Book More Discovery Calls for a High-Ticket Offer

Josh Pocock

7 min read

Coaches and consultants with a high-ticket offer usually sell on a discovery call, and the call calendar is the number that pays the bills. Most of the leaks happen between the ad or post that caught someone's attention and the moment they show up on Zoom.

You book more discovery calls by tightening the path between interest and the calendar: a short application form, a reply within a minute of every application, qualification on budget and fit before the booking, useful pre-call content, firm confirmations and a same-day rebook for anyone who misses.

Each step below includes the scripts we start from, so you can copy what fits your offer.

Build an application form that filters without scaring people off

The application form is your first qualifying tool. Too long and good prospects quit halfway. Too short and your calendar fills with people who can't afford the program.

Aim for five to seven fields. Name, email and phone come first, with consent language for calls and texts right under the phone field (match it to your SMS terms and confirm the wording with your own counsel). Then add the questions that actually decide fit:

  1. What does your business do, and roughly what is it doing in revenue per month?
  2. What is the one result you want in the next 90 days?
  3. What have you already tried?
  4. If we're a fit, are you able to invest in a program at this level right now? (Give a range or "starting at" figure if you're comfortable sharing it.)
  5. How soon do you want to start?

Question 4 does more filtering than any other. A range on the form saves you from calls with people who were never in the market. If you'd rather not show a number, ask whether they have set aside a budget for outside help.

Put the calendar after the form, not before it. Prospects who answer the questions first arrive more prepared, and you get a chance to route the ones who don't fit.

Follow up on every application within a minute

An application is the warmest signal you will get from a prospect. They just told you their goal and their budget. Waiting until tomorrow morning to reply wastes that.

The 2011 HBR study "The Short Life of Online Sales Leads" found firms that contacted a web lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer. Our post on lead response time covers how to measure your own number.

Plenty of applicants submit the form and never pick a time on the calendar. Text them right away:

Hi Chris, it's Maya from [Your Program]. I saw your application come in. You mentioned wanting to fill your consulting pipeline in the next 90 days. Do you want to grab a time with [Coach] this week? Thursday at 11 or Friday at 2?

If you run paid traffic, this is the step that decides your cost per call. A Meta ads campaign that drives 100 applications a month and books a third of them costs the same as one that books two thirds. The difference is follow-up.

An AI agent can send this text and place a call the moment the application lands, at any hour. Our done-for-you AI appointment setters run on StrideOps, where agents respond in under 2 seconds, ask your qualifying questions and book straight into your calendar.

Qualify on budget and fit before the calendar

A booked call with someone who can't buy costs you an hour and a slot a buyer could have taken. Qualify before the booking, not on the call.

Use the form answers to route people into three paths:

ApplicantWhat they saidWhere they go
Strong fitRevenue and budget in range, start date within 60 daysStraight to your calendar
UnclearBudget blank or vague, timeline "someday"A short text or call to ask one or two questions first
Not a fitPre-revenue, or budget well below your programA lower-priced product, free content or a polite no

For the unclear group, ask one question at a time:

Thanks for applying, Chris. Quick one before I send times: the program starts at [figure]. Is that in the range you were planning for?

If the answer is yes, offer two times. If it's "not yet," point them at your free content or lower offer and ask permission to check back in a few months. Never promise a result or an income outcome to move someone toward the booking.

Send pre-call nurture between the booking and the call

The days between booking and the call are where interest cools. A prospect who booked on Monday for a Thursday call has three days to second-guess, get busy or book with someone else.

Send a short sequence that builds trust and sets expectations:

  1. Right after booking: a confirmation with the date, time, call link and one line on what the call covers.
  2. Same day: a short video from you (two to four minutes) explaining how the call works, what you'll ask and what they should have ready.
  3. The next day: one piece of proof that matches their situation, like a recorded walkthrough of your method or a long-form post on the problem they named on the form. Use your own published material, not invented claims.
  4. The day before: a reminder that asks them to reply with their biggest question for the call.

That last message does double duty. A prospect who replies with a question is far more likely to show, and you walk into the call knowing what matters to them.

Confirm the call and rebook no-shows the same day

Confirmations and reminders are boring and they work. Send a text and email the day before and a text about an hour before. Ask for a reply:

Hi Chris, it's Maya. You're set with [Coach] tomorrow at 11 AM Eastern. Reply YES to confirm, or let me know if you need a different time.

Prospects who don't confirm get a phone call. If someone needs to move, rebook them on the spot rather than sending them back to the calendar link.

When someone misses the call, text within 10 to 15 minutes of the start time:

Hi Chris, looks like we missed you at 11. No problem, things come up. Want to grab another time? Today at 4 or tomorrow at 10?

Make one rebook attempt by text and one by phone, then let it go. For a full no-show playbook, see how to reduce appointment no-shows.

Create content-to-call paths

Most coaches and consultants publish content, and most of it ends with "link in bio." Give each piece of content a direct path to a call.

  • Long-form video or podcast: end with one sentence about who the program is for and a link to the application, not your homepage.
  • Short posts: use a keyword reply ("Comment PLAN and I'll send the checklist"). When someone engages, send the resource, then ask one question about their situation.
  • Email list: once a month, send a plain email that names who you're taking on and links to the application.
  • Lead magnets: follow every download with a short text or email asking what prompted it. People who reply with a real problem get an invitation to apply.

Keep a simple tracker of which piece of content each application came from. After a few months you'll see which topics produce calls and which only produce likes.

FAQ

How do I get more discovery calls as a coach?

Shorten the path from interest to booking. Use a short application form, reply to every application within a minute, qualify on budget before the calendar and send a reminder that asks for a reply.

For a high-ticket offer, an application form before the calendar usually works better. You can filter on budget and fit first and keep calendar slots for people who can buy.

How many reminders should I send before a discovery call?

Send a confirmation right after booking, a reminder the day before and a short text about an hour before. Ask for a reply in the day-before message.

Can AI book discovery calls for coaches?

Yes. An AI agent can text and call applicants who opted in, ask your qualifying questions and book into your calendar. It should hand off to a person when asked or when a question falls outside its knowledge base.
