Business Loan Lead Follow-Up: Qualify Fast, Promise Nothing
Josh Pocock
8 min read
A business owner who fills out a funding form usually fills out two or three more the same afternoon. For business lenders, brokers and merchant cash advance (MCA) funders, the follow-up in the next few minutes decides who gets the file.
Business loan lead follow-up means contacting every opted-in applicant within a minute, asking a short set of qualifying questions, booking or transferring them to a funding rep, and collecting documents, all without quoting rates, factor rates or approval odds before your team has reviewed the file.
Below is the question set, the lines your agent should never say, the document hand-off, a response cadence and how to handle renewals.
Why speed matters more in lending than almost anywhere
Merchants shopping for capital rarely compare offers for weeks. Many have a payroll, an inventory order or a slow month to cover, and they take the first credible offer they hear. That is a familiar pain for MCA funders: the merchant signed with whoever called first.
The research on web leads points the same way. A 2011 Harvard Business Review analysis, "The Short Life of Online Sales Leads", found firms that contacted a lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer. Our post on lead response time covers how to measure your own number.
In lending, "within an hour" is too slow. The applicant is still on their phone, often still on the comparison site. Aim to make first contact inside a minute.
The qualifying questions that sort a file in two minutes
Your funding team needs the same handful of facts on every applicant before a real conversation is worth having. Have the agent ask them one at a time, in plain language, and accept ranges instead of exact figures.
- Time in business. "How long has the business been operating?" Most lending boxes have a floor, and this question screens out startups politely.
- Monthly revenue range. "Roughly what does the business bring in per month? A range is fine." Offer bands that match your criteria (under $10k, $10k to $25k, $25k to $50k, over $50k).
- Use of funds. "What would the funding go toward?" Equipment, inventory, payroll, expansion and debt consolidation each route to different products.
- Amount range. "About how much are you looking for?" Again, a range.
- Timeline. "When do you need the funds?" This one sets priority. "This week" goes to the front of the queue.
You can add one or two of your own, such as industry or whether the owner has an existing advance outstanding. Stop there. Every extra question before the hand-off costs you replies.
A sample SMS flow
Hi Marcus, this is Ava, the AI assistant for [Funding Company]. Thanks for your funding request a minute ago. Quick question so we route you to the right specialist: how long has the business been open?
Got it, 4 years. Roughly what does the business bring in each month? A range is fine.
Thanks. And what would the funding go toward?
That helps. [Rep name] can go over options with you today. Does 2:15 PM or 3:00 PM work for a 10-minute call?
If the applicant says "call me now," the agent should transfer live to an available rep or call back immediately. Booking a slot is the fallback when nobody is free.
What your agent must never say
Lending conversations go wrong when someone on your side tries to be helpful with numbers they do not have. Write these rules into the agent's instructions before launch:
- No approval promises. Avoid "you'll definitely qualify," "guaranteed approval" and "everyone gets approved." The agent can say a funding specialist will review the file.
- No rates or factor rates. Avoid "rates start at" and "factor rates as low as." If asked, the agent explains that pricing depends on the full file and the specialist covers it.
- No amounts. The agent never tells an applicant how much they will receive. It can confirm the range they asked for.
- No advice. The agent does not compare products, recommend a loan versus an advance or comment on whether taking funding is a good idea.
A good answer to "What's your rate?" sounds like this:
Fair question. Pricing depends on the business's revenue, time in business and the product that fits, so [Rep name] covers exact terms once they've reviewed your details. Want me to lock in a call for this afternoon?
When a question falls outside the knowledge base, StrideOps agents hand off to a human instead of guessing. That is the behavior you want in a regulated product.
State disclosure laws exist
Several states now require written disclosures on commercial financing offers, and some cover merchant cash advances. California's Department of Financial Protection and Innovation announced that its commercial financing disclosure regulations took effect December 9, 2022. The announcement names merchant cash advances among covered products, and the required disclosures include an Annual Percentage Rate. Other states have their own versions.
This is one more reason your agent should stay out of pricing entirely. This article isn't legal or compliance advice, so confirm your obligations in each state with your own counsel.
The document collection hand-off
Leads stall waiting for documents. This shows up as a common pain for business lenders: an applicant agrees to send bank statements, then goes quiet for four days.
Split the job in two. The agent handles the reminders, and your team handles the review.
What the agent does
- Sends the secure upload link (from your own portal) right after the qualifying call is booked or completed.
- States plainly which documents your team asked for, such as recent business bank statements and a photo ID. Keep the list to what your process actually requires.
- Follows up on a schedule until the documents arrive or the applicant opts out.
- Answers simple questions like "Does it have to be PDF?" from the knowledge base.
What the agent never does
- Collects bank account numbers, Social Security numbers or statements inside a text thread. Sensitive files go through your secure portal only.
- Reviews documents or comments on what they show.
- Tells the applicant their file "looks good."
Sample document reminder
Hi Marcus, it's Ava with [Funding Company]. [Rep name] is ready to review your file as soon as the last 3 months of business bank statements come in. You can upload them here: [secure portal link]. Any trouble with the upload?
When documents land, the agent notifies the rep with a summary of the qualifying answers, so the rep opens the file already knowing the story.
A fast-response cadence for funding leads
This assumes every applicant opted in to calls and texts on your form. Your consent language should match your SMS terms, and AI voice calls need the same prior express consent as other artificial voice calls under the FCC's February 2024 ruling.
| When | Touch | Goal |
|---|---|---|
| 0 to 60 seconds | Text, then call | Start qualifying while they're still on the form |
| 10 minutes | Second call if no answer | Catch them after the first missed call |
| 1 hour | Text with one specific time offer | Book the rep call |
| End of day 1 | Call | Reach owners who work during the day |
| Day 2 morning | Text referencing their use of funds | Re-engage with their own words |
| Day 3 | Call and email | Last push while the need is fresh |
| Day 5 | Text asking whether to close the file | Get a clear yes or no |
Lending timelines are short. If an owner needed funds this week and you haven't connected by day 5, they have probably funded elsewhere. Move them to a slower nurture list and stop daily contact. Stop everything the moment someone replies STOP.
Renewals: the leads you already paid for
Renewals slip without a system, and they are often worth more than a brand-new lead. The merchant already knows you, has a payment history and may be eligible for a new advance once a share of the current one is paid down.
Set up an opt-in renewal sequence based on your own eligibility rules:
- Your system flags the merchant when they reach your renewal threshold.
- The agent texts a check-in that asks a question instead of making an offer.
- If the merchant is interested, the agent re-asks the qualifying questions that may have changed (monthly revenue range, use of funds, amount range).
- The agent books the rep or transfers live, and requests updated statements through the portal.
Sample renewal opener:
Hi Dana, this is Ava, the AI assistant for [Funding Company]. You've been with us since March, and [Rep name] asked me to check in. Is the business looking at any new projects or inventory this quarter?
Notice what it leaves out: no "you're pre-approved for $50,000." The rep reviews the file and makes any offer.
For past merchants who went quiet or funded elsewhere, a database reactivation campaign follows the same rules on a slower schedule.
FAQ
How fast should you follow up on a business loan lead?
Within a minute of the form submission, by text and call. Applicants often apply with several funders at once, and the first credible conversation tends to win the file.
What questions should you ask a business loan lead?
Time in business, monthly revenue range, use of funds, amount range and timeline. Accept ranges, ask one at a time and leave pricing and approval questions for the funding specialist.
Can an AI agent quote rates or factor rates?
It shouldn't. Pricing depends on the full file, and several states require written disclosures with specific cost figures. The agent should route rate questions to your rep.
Should the AI agent collect bank statements by text?
No. The agent sends a link to your secure upload portal and follows up until the documents arrive. Sensitive files and account numbers never go through a text thread.
